Application Privacy Notice

This notice covers Fleet Focus Accounting Sync (the “Application”), private software that reads accounting records from QuickBooks Online so the businesses that own those records can report on them.
It is separate from, and does not replace, the Coloptics Privacy Policy, which covers drivers, applicants, and visitors to this website. This notice covers only the Application and the accounting data it handles.
Whose data this is
The Application reads the QuickBooks Online records of the businesses that own them:
- Biggie Auto
- Collazo Corp
- ECC Properties, LLC
- Optimal Inc
Each company is connected separately, and a connection is made only by a QuickBooks administrator for that company. The Application is not offered to the public and holds no third party’s books.
What it reads
Through Intuit’s accounting API, the Application reads business accounting records: the chart of accounts, invoices, bills, payments, journal entries, deposits, purchases, vendors, customers, items, and the summary reports built from them.
These records may incidentally contain personal information where a business entered it — a vendor contact name, a customer address, a description typed onto a transaction line. The Application does not seek out personal information and does not build profiles of individuals.
It does not read payroll, banking credentials, or payment-card data, and it does not request Intuit’s payments permission.
What it does not do
- It does not write to QuickBooks. Nothing is created, changed, or deleted there. QuickBooks remains the authoritative record.
- It does not sell data or share it for anyone’s marketing.
- It does not advertise, profile, or track individuals.
- It does not mix companies. Records stay attributed to the company they came from, and access is scoped per company.
Where it is stored
Records are stored in a private PostgreSQL database on infrastructure the businesses control, reachable only by the Application and by named administrators. Connection credentials are held encrypted and are never displayed in the interface.
Access is restricted to staff whose work requires it, and is granted per company rather than across all of them.
How long it is kept
Accounting records are kept for as long as the businesses need them for reporting and for the periods tax and record-keeping rules require. When a company’s connection is revoked, the Application stops reading immediately; the copy already held is retained under those same rules, or deleted on request where no obligation requires keeping it.
Revoking access
A company can disconnect the Application at any time from the connected apps settings inside QuickBooks Online. No notice to us is required, and revoking takes effect at once.
Who else sees it
Nobody outside the businesses named above, except:
- Intuit, as the source of the records and the operator of the API the Application reads through.
- The hosting provider running the servers and database, which holds the data at rest on our behalf and does not use it.
- Regulators, law enforcement, or advisors, where required by law or needed to establish or defend a legal claim.
Security
Connections use encrypted transport. Authorization tokens are stored encrypted and rotate automatically. Administrative access is limited to named accounts. No system is completely secure, and we do not claim otherwise.
Changes
When this notice changes, the “last updated” date above changes with it, and the revision takes effect when posted.
